The challenge
Hackerstem runs workshops, classroom sessions and events across educational programmes. That involves far more coordination than a booking system can handle. Behind every session sits scheduling, resource planning, instructor coordination, internal communication and operational oversight that generic tools either ignore or handle badly. The organisation needed a system that could support the people running programmes behind the scenes, not just the public-facing booking layer. A bespoke internal platform designed around how delivery actually runs, rather than a generic events tool that would only solve the surface.

Built dedicated management views for session planning, instructor assignment, resource tracking and day-of-delivery coordination. Operational staff have a single place to manage the logistics that booking tools cannot see.
Created a unified scheduling layer that handles recurring programmes, one-off events and classroom availability within one operational view, replacing the calendar spreadsheets and email threads that were consuming admin time.
Designed the platform to feed public-facing information to the existing website while keeping operational detail internal. Programme updates, scheduling changes and availability are managed once and reflected everywhere.

The outcome
Hackerstem now runs programme operations through a system that was designed around the work, not adapted from a tool built for a different purpose. Session coordination takes less effort, scheduling conflicts surface before they become problems, and the team that runs delivery has operational visibility that previously required manual compilation. The platform also removed a dependency on disconnected tools, which matters for a growing organisation. As programme activity scales, the system scales with it. No new tool evaluations or migrations every time operational complexity increases.
